Turn one resolved ticket into a reusable macro
You just answered the same question for the third time this month. The answer is good. It is also trapped in one closed ticket.
You just answered the same question for the third time this month. The answer is good. It is also trapped in one closed ticket.
This hack: one resolved ticket, one macro draft, fifteen minutes. Stop rewriting. A human still reviews before it becomes the default reply.
When to use it
- You closed a ticket with a clear, correct reply.
- You recognize the question will return.
- You have a macro, snippet, or help-center draft location ready.
When not to
- The fix was a one-off edge case. Don't macro noise.
- The reply includes customer-specific data. Strip it or skip.
- You don't own the macro library. Draft and hand it to the owner.
Do this (timer on)
- 1. Open the resolved ticket. Copy the winning reply.
- 2. Strip names, account IDs, and one-off details.
- 3. Run the prompt to turn it into a reusable macro with placeholders.
- 4. Paste into your macro tool as draft. Title it by the customer question.
- 5. Add one internal note: when to use / when not to.
Prompt (copy)
Turn this support reply into a reusable macro.
Output:
1) Macro title (customer-language question)
2) When to use (1-2 lines)
3) When NOT to use
4) Macro body with [PLACEHOLDERS] for anything account-specific
5) Keep the tone: clear, calm, no blame
Do not invent product features or policy.
Do not keep PII from the original.
