Mark active vs idle on one tool's user export
You pay for seats. Some log in. Some haven't since onboarding. Renewals arrive before anyone looks.
You pay for seats. Some log in. Some haven't since onboarding. Renewals arrive before anyone looks.
This hack: one tool, one export, fifteen minutes, mark active/idle. Decide renew/cancel in a later block. Today is visibility.
When to use it
- You can export users (or admins can send you the list).
- Renewal or cleanup is coming.
- You care about one tool, not the whole stack today.
When not to
- You have no admin access and no ally. Get access first.
- You plan to surprise-fire people based on last login alone. Use this as a conversation starter, not a weapon.
- Security review is the real job. Pair with access revoke separately.
Do this (timer on)
- 1. Export users: name, email, last active, role.
- 2. Sort by last active. Mark Active / Idle / Unknown.
- 3. Note idle seats that still have privileged roles.
- 4. Save a one-page brief: tool, seat count, idle count, question for owner.
Prompt (copy)
Summarize this seat export.
Output:
- Total seats
- Active (last 30 days) / Idle / Unknown counts
- Privileged idle users (admin/billing roles) as a short list
- 5 questions for the tool owner before renew/cancel
Do not invent usage metrics not in the export.
Do not recommend a competing vendor.
