Leave the meeting with names on actions, not a transcript
The meeting ended. Someone said "I'll send notes." Notes arrive as a transcript. Nobody owns anything. Next week you re-debate the same open loops.

This hack pulls owners and dates from today's last meeting notes - while the room is still warm. You are not writing a novel. You are extracting who does what by when.
If every meeting dies in the doc, take the Meeting-to-Action assessment after you use this once.
When to use it
- You have notes, a recording summary, or a messy chat dump from a meeting that just ended.
- At least one action was implied out loud.
- You have twelve minutes before context fades.
When not to
- There were no decisions and no asks. Don't invent work to look productive.
- Legal or HR content needs a controlled channel. Don't paste sensitive threads into a random model.
- You are not the owner of the follow-up. Hand the extract job to whoever ran the meeting.
Do this (timer on)
- 1. Paste only today's notes (or the AI summary) into a scratch doc.
- 2. Run the prompt. Keep the output to actions with owners and dates.
- 3. Strike anything that is a topic, not an action.
- 4. Send the short list to attendees in the same thread or calendar invite.
- 5. Stop. Do not rewrite the full transcript.
Prompt (copy)
Extract action items from these meeting notes.
Rules:
- Only real actions (verb + object). Skip discussion topics.
- Every action needs an owner (name or role). If missing, mark OWNER?.
- Every action needs a date or timebox. If missing, mark DATE?.
- Group: Decisions made | Actions | Parking lot (no owner needed)
- Max 12 actions. Merge duplicates.
- Do not invent attendees, budgets, or commitments that are not in the notes.
NOTES:
[paste]
A decent shape
Decisions
- [Decision in one line]
Actions
- 1. [Owner] - [Action] - by [date]
- 2. [Owner] - [Action] - by [date]
Parking lot
- [Topic without an ask]
After you send
Park the extract in one place the team already checks. If you did this after three meetings and owners still shrug, the meeting itself has no close ritual - fix that, not the prompt.
